We know plans can change. This policy explains how we handle cancellations and date changes for bookings confirmed with Local Expedition Agency.
1. Cancellation by the traveler
Cancellations must be requested in writing to reservas@localexpeditionagency.com or via WhatsApp, including the booking code. Notice periods are counted in calendar days before the tour start date:
| Cancellation notice | Deposit refund |
|---|---|
| More than 30 days | 100% of the deposit, minus non-refundable costs already issued |
| 15 to 30 days | 50% of the deposit, minus non-refundable costs |
| Less than 15 days or no-show | No refund |
Non-refundable costs: Machu Picchu entrance tickets, train tickets, Inca Trail permits and other third-party services already issued in the traveler’s name, as well as bank or payment gateway fees. Inca Trail permits are personal and non-transferable under Ministry of Culture rules.
2. Date changes
- You can change your tour date once at no charge if you request it at least 15 days in advance, subject to availability.
- If the change requires reissuing entrance or train tickets, the providers’ change fees will apply.
- Changes requested less than 15 days in advance will be reviewed case by case.
3. Cancellation by the Agency
If the Agency cancels a tour for reasons within its control, the traveler may choose a new date at no extra cost or a 100% refund of the amount paid.
4. Force majeure
In the event of extreme weather, natural disasters, strikes, road or site closures, government orders or other causes beyond the Agency’s control, we will offer an alternative route or a new date. Third-party services will be refunded only to the extent the provider refunds them.
5. Leaving a tour
If a traveler leaves a tour after it has started, by choice or for health reasons, no refund is due for unused services.
6. Refund timing and method
Approved refunds are processed within 30 calendar days of the request, using the original payment method.
